Good to know about synchronization
Flowfact → BOTTIMMO
After successful connection, no data is transferred between the two systems yet. The first step is an initial contact sync from FLOWFACT to BOTTIMMO. After that, new contacts are regularly synchronized from FLOWFACT to BOTTIMMO.
How do data go back to Flowfact?
You can choose between automatic and manual backsync.
Automatic
All changes to contacts in the BOTTIMMO system and all new contacts generated through BOTTIMMO are automatically sent to FLOWFACT.
Manual
No data is automatically transferred back to Flowfact.
Each contact can be synced individually on the contact detail page.
Can the sync be stopped?
Yes, at any time – just click the appropriate button at the bottom right of the CRM settings.
What happens if the sync is stopped?
From that moment on, no more data is transferred between Flowfact and BOTTIMMO.
ℹ️ Note: Synchronization can be stopped and restarted at any time with one click.
What data is synchronized between BOTTIMMO and FLOWFACT?
When you connect BOTTIMMO with FLOWFACT, a lot of information is exchanged automatically between both systems. This way, you don't have to enter things twice and can keep all contacts and activities in one place. Below you'll find a simple overview of what data is transferred.
1. Contact data from BOTTIMMO to FLOWFACT
BOTTIMMO automatically creates a contact in FLOWFACT or adds to existing data. The following are transferred:
- First and last name of the lead
- Email address
- Phone number (with note if it's a mobile number)
- Tags (e.g. "bottimmo" is always added)
- GDPR status, if available
- Contact status ("active")
- Follow-up date from BOTTIMMO (if available)
- All emails entered by the lead
- Direct link to the contact in FLOWFACT
- FLOWFACT contact ID (if available)
2. Activities and notes for each conversion
A “conversion” is an action performed by the lead. Examples: started a valuation, requested a callback, downloaded a guide.
- BOTTIMMO automatically creates an activity (note) in FLOWFACT for each action, including:
- Title (e.g. name of the landing page or type of action)
- Short description
- Date and time of the action
- Your company name (as stored in BOTTIMMO)
- Link to the lead in BOTTIMMO
- If a contact was deleted in BOTTIMMO, a deletion note is saved
3. Data depending on conversion type
Depending on the lead's action, different data is transferred. Here's a clear overview:
- Property valuation
- Property type (e.g. house, apartment)
- Address
- Price range (min, max, average)
- Whether the valuation was manual or automatic
- Title like "Valuation completed" or "Valuation requested"
- Description with address and price
- Callback request
- Preferred callback time (e.g. morning, afternoon)
- Topic of the callback (e.g. pricing, inheritance)
- Title: “Requested a callback”
- Description with time and topic
- Download (guide or checklist)
- Type of document
- Postal delivery preference
- Title based on the document
- Shipping note (automatic or manual)
- Life annuity check
- Property type
- Title and short note about the completed check
- Partial sale check
- Property type
- Title and short note about the completed check
- Dream home finder
- Property type and subtype
- Search area and radius
- Min and max price
- Title: “Submitted a search request”
- Description with all search criteria
- Land valuation
- Type of land
- Title: “Land valuation request”
- Description with land type
4. Property data for FLOWFACT (for valuations)
If a lead completes a property valuation, BOTTIMMO also sends:
- Property type and subtype
- Address
- Living space, number of rooms, year built
- Condition and quality (in simplified form)
- Plot size
- Balcony size
- Floor
- Annual rent
- Link to the associated contact
5. Search profiles in FLOWFACT (from dream home finder)
BOTTIMMO automatically creates a search profile in FLOWFACT, including:
- The contact
- Subject (“BOTTIMMO – Dream Home Finder”)
- Status (“active”)
- Desired property types
- Search area
- Internal additional info from the search request
6. General lead data
The following general data is always transferred:
- Lead ID
- Company ID
- Lead email
- Lead status
- Due date
7. Other transferred information
BOTTIMMO also sends:
- All conversions the lead has performed
- All notes and activities linked to the contact
